Enrollment
From enquiry to enrolled: one path for every student
Ellerna team · · 4 min read
Ask any center director where the week goes and enrollment is near the top of the list. An enquiry arrives by email, the details go into a spreadsheet, a waitlist lives somewhere else, and the family is asked for the same information twice. By the time a child starts, their record exists in three places and none of them agree.
Start from your programs
In Ellerna, enrollment starts with the programs you actually run: infant and toddler care, preschool, before and after school, tutoring or a weekend art class. Programs are shared across your organization and each class runs at a location, so every student lands in the right place from the start.
One record, every status
A student moves through clear statuses (applied, waitlisted, enrolled) on the same record. Nothing is copied between systems, and your team can see at a glance who is waiting, who is starting and who has a place.
- Review applications and approve or decline them in one list.
- Keep your waitlist on the same records instead of in a separate spreadsheet.
- Place enrolled students in a class, with the class capacity in view.
- Keep guardians, pickup contacts and documents on the same student record.
Plan limits you can see
Your Ellerna plan sets how many students can be enrolled and how many locations you run. Ellerna counts enrolled students, not applications, so a busy waitlist never pushes you into a bigger plan.
What families see
Once a student is enrolled, their guardians sign in to their own family view: their child’s day, photos, messages, documents to sign and invoices to pay. The details they gave you at enrollment are the same ones your staff work from.
